Convex overhauled the client’s engineering team process, then led the design, implementation, rollout, and support of a bespoke billing platform
A professional services firm was struggling not only with their engineering team, but with their billing process
The client – a midsized professional services firm – had a small team of software developers who were able to release features, but had little experience tackling larger projects.
At the same time, the company’s invoicing process was mired by clunky third-party software that didn’t work well.
The process imposed by the software caused expensive billing errors, wasted personnel time, and rapidly eroding trust with clients
Convex stepped in and led the way
We quickly jumped in and got to know the engineering team. We modified their process, set up a new meeting calendar, and rapidly progressed to well-organized, effective sprints.
In parallel, we connected with various stakeholders to understand the various problems with the billing system, gathered, organized, and validated the requirements, and worked with the team to come up with a few possible solutions, finally selecting the one that best aligned with company goals.
Over the course of the next few months, we led the team in the implementation and rollout of a new billing solution that integrated third-party time-tracking software, a newly vetted third-party invoicing application, and the client’s internal license management software.
The average time to invoice dropped from weeks to less than 3 days, costly errors were reduced to nearly zero, customer and employee confidence in the invoicing process skyrocketed, and the VP of Operations reduced their monthly time spent on invoicing from dozens of hours to just minutes.
The outcome: savings of over $1M/year
